Course payments

Check proof of payment for paid-offline courses, record payments you received, take payments online through Store, and give refunds.

Courses can be Free, Handled by the school, Paid offline or Paid online (see Add a course). Every course payment, online or offline, is listed under the Payments tab.

Administrators, school coordinators and anyone with the permission to add students can see payments and mark them paid. Refunds need their own permission ("refund course payments" in System → Roles).

  1. The student registers (with a class code or from the course page) and sees Waiting for payment.
  2. They pay you the way your How to pay instructions say (Settings → School): bank transfer, check, cash and so on.
  3. On My learning they tap Send proof of payment, choose How you paid, type the Amount paid and Reference number, add a Photo of your receipt if they have one, and tap Send to the school.

Check a payment and open the class

  1. Click the Payments tab. To check lists payments students told you about. The tab shows a red number when one is waiting.
  2. Click View receipt (1) and compare the amount and reference with your bank account.
  3. Click Mark paid (2). The class opens for the student, and they get an email.
  4. If the payment isn't right, click Not accepted… (3) and write why. The student is told and can send it again.

Record a payment you received

When someone pays at your office without sending proof:

  1. Click Not paid yet (1).

  2. Click Record a payment (2) next to the student.

    Students who haven't paid yet
  3. Type the Amount, choose How they paid, and type the Reference or receipt number and a Note (staff only).

  4. Click Record payment and open the class.

Recording a check paid at the office

Paid lists every payment with who checked it and when. Not accepted keeps the ones you turned down.

For a course set to Paid online, the course page shows Enroll and pay online. Students fill in the checkout (for themselves or for their child), then pay on your Store's payment page with any payment method you've turned on there (PayPal, Stripe, PayMongo or your own). When the payment comes in, the class opens by itself and the student lands on My learning.

Online payments appear in the same Payments list, marked as online, with a link to the Store order. Store coupons can be made for courses too (Store → Coupons).

Refund a payment

  1. On Payments, click Paid, then Refund… next to the payment.
  2. Type the Amount to refund: the full amount, or less (for example, minus a fee).
  3. Add a Note to the student if you like. It's added to the email.
  4. Under Suggest other courses or classes, keep or change the ticked suggestions. PageShift ticks the best matches: same subject, seats free, starting soon, no clash with their other classes, similar or lower fee.
  5. Click Refund and remove from the class.
Refunding a payment

The student is removed from the class (their lesson progress is kept) and gets an email with your suggestions, which also show on their My learning page.

Bundles and memberships

Under Payments → Bundles and memberships you can sell:

  • a bundle: several courses for one price, paid once;
  • a membership: courses that stay open while a monthly or yearly payment runs (PayPal or Stripe).

Both are paid online through Store. Show them on a page with the Course bundle or Membership widget.
