Hiring, the careers page and applicants
Turn on your careers page, post a job, receive applications with resumes, move applicants through stages and hire them into Team.
Team can put your open jobs on your website, in your site's design, each with an application form. Applications arrive in Team → More → Hiring, where you move applicants through stages and hire the one you choose.
Turn on the careers page
The careers page is off until an Administrator turns it on.
- Go to Team → Settings → Hiring.
- Tick Turn on the careers page (1).
- Check the Address of the careers page (2),
/careers/by default. Each job gets its own page under it. - Choose how many months to Keep applications of people not hired (3) after the job closes (6 by default). Then they're deleted with their resumes.
- Add a short Text at the top of the careers page if you like.
- Click Save Changes.
Add the careers page to your menu in Design → Menus & Footer (see the Design section). To show the open jobs inside any page, add <!--mts:team-jobs--> to it.
Who sees jobs and applicants is the permission Team: hiring (jobs and applicants); the Team manager role has it.
Post a job
- Go to Team → More → Hiring and click New job.
- Type the Title (1), and choose the Department, Location (2) and Kind of work.
- Type the City, State or province and Country (2 letters), and tick Can work remotely if they can.
- Add a pay range if you want to show one: Pay from (3), Pay up to, Currency and Per.
- Choose when Applications close on (4). The job closes by itself after that day.
- Write the Description. Empty lines start a new paragraph; lines starting with "- " become a list.
- Add up to 10 Extra questions on the application form, for example "How many years have you led a roofing crew?".
- Click Save the job. It's a draft.
- Open it and click Open (show on the careers page).
What applicants see
The careers page lists your open jobs with View and apply.
Each job page shows the description and an Apply for this job form: name, email, phone, a resume (PDF or Word, up to 5 MB) (1), your extra questions, a short message, and a box to agree to how the application is kept.
After Send my application, they see "Thank you for applying" and get the We got your application email. People with hiring permission get New application. The form is protected against bots and repeated sending.
Job pages are found by search engines and carry job markup for Google's job listings. A closed or draft job's page says "This job is closed".
Review applicants
Team → More → Hiring lists your jobs with their number of applications (a red number for new ones). Click a job to see its applicants by stage.
Click an applicant to see their answers and open their Resume. Then:
- Choose the Stage (1): New, Reviewing, Interview, Offer, Hired, Not selected or Withdrawn.
- Give a Rating (2) from 1 to 5.
- Write Private notes (3). Only people with hiring permission see them; they're stored encrypted.
- Click Save.
When you move someone to Not selected, you can tick Email them that they weren't selected to send a polite email (edit its text in Settings → Emails).
Hire
The Hire box (Team managers and Administrators) makes the applicant a person in Team:
- Check the Job title, Start date, Department, Location, Manager and Kind of work.
- Leave Start the onboarding checklist that matches ticked, and tick Invite them to sign in if they should.
- Click Hire ….
Their Team record opens. Their resume is kept in their documents under Application, seen by managers only.
Close a job
Open the job and click Close (or Back to draft). It leaves the careers page, and each application from someone not hired is set to be deleted after the months you chose. Delete the application now removes one straight away.
