Handle orders
Find orders, read their details, mark them paid when the money arrives, and mark them fulfilled when you've delivered.
All orders are in Store → Store, on the Orders tab. Orders from Courses, form payments and online invoices show here too, with a badge.
Find an order
- Click a status above the table (1) to see only those orders. Each shows how many orders it has.
- Type an order number, name or email in the search box (2) and click Search. Clear shows all orders again.
- When you have more than one kind of order, a Type: line lets you show only Products, Courses, Form payments or Invoices.
Each row shows the order number and date, the customer with their payment method (and reference, if they sent one), the items, the total and the status. Click the email address to write to the customer.
Order statuses
| Status | What it means |
|---|---|
| Awaiting payment | Ordered, not paid yet (your own methods, or an online payment not finished) |
| Awaiting confirmation (link) | Sent to a product's outside payment link; check the other platform |
| Paid | The money arrived (automatically for PayPal, PayMongo and Stripe) |
| Fulfilled | You delivered: shipped the product or did the job |
| Canceled | The order won't go ahead |
| Refunded | The whole amount was refunded |
Mark an order paid
When a bank transfer or GCash payment arrives:
- Find the order. The customer column shows the reference they sent, so you can match it with your bank statement.
- In the order's row, choose Paid in the status menu (4).
- Click Save (5). The message says "Order … marked as Paid."
Marking an order paid:
- emails the customer a Payment received receipt with their invoice;
- gives the order an invoice number;
- unlocks downloads and booking links;
- enrolls students (for course orders) and records the commission (when Affiliates is on).
Mark an order fulfilled or canceled
When you've shipped the product or done the work, choose Fulfilled and click Save. To cancel an order that won't be paid, choose Canceled and click Save.
Order details
Click Details (3) under the order number:
- each item with its option, quantity, amount and type;
- Payment (1): the method, the customer's reference or the transaction number, and when it was paid;
- Download lines for digital products, with how many downloads were used and the license key;
- Breakdown (2): discount and coupon, shipping, tax and country;
- Invoice (PDF) (3) with its number, once the order is paid;
- the customer's phone and company, Ship to (4) and Notes;
- Referred by when the sale came through an affiliate;
- In Finances: the money-in record, when the Finances module is on;
- the refund form, for paid orders.
On the Dashboard
Two Dashboard cards follow your store: Store orders (orders waiting for payment, with Review these →) and Sales (revenue, paid orders, average order, refunds and top products). Add them with Customize dashboard (see Use the Dashboard).
