Recurring records, bills and invoices

Let Finances add your rent, subscriptions and monthly bills by itself, and repeat an invoice every week, month, quarter or year.

Some money moves on a schedule: rent on the 1st, a software subscription, a power bill, a quarterly maintenance contract. Set them up once in Finances → More → Recurring, and Finances adds each one when it's due.

The Recurring screen

There are three kinds:

Kind Each time it's due, Finances…
Recurring record (money in or out) adds the record, or waits for you to confirm it
Recurring bill adds the bill to Bills
Recurring invoice makes a draft for you to check, or makes it and emails it to the customer

Repeat a record (rent, subscriptions)

The quickest way: open a record you already added, for example last month's rent, and click Make this recurring. The form starts with its account, amount and category.

Or click New recurring record (3) and fill in the Type, Amount, Account, Category, who it's Paid to or from and a Description. Then:

  1. Choose How often (1): Every week, Every month, Every 3 months or Every year.
  2. Type the date of the Next one on (2). Monthly ones keep this day of the month (or the month's last day).
  3. Choose when it Ends (3): Never, On a date or After a number of times.
  4. Choose what happens Each time (4):
    • Add it automatically: for fixed amounts, like rent.
    • Ask me to confirm each one: for amounts that change, like a phone bill.
  5. Click Set up.

Confirm a waiting record

Records set to Ask me to confirm each one wait under Waiting for you to confirm (1) when they're due. The Overview and the Recurring tab show how many wait, and you get a daily email.

  1. Change the amount if this month's is different.
  2. Click Confirm (2) to add the record, or Skip to skip this one.

The next date moves on either way.

Repeat a bill

Click New recurring bill, or open a bill and click Make it recurring. Fill in the vendor, amount, currency and category, the Due (days after the bill date) and Their account or reference, then the schedule as above. Each time, the bill is added to Bills, where you pay it as usual.

Repeat an invoice

A recurring invoice starts from an invoice you made, for example a quarterly maintenance contract.

  1. Open the invoice and click Make it recurring.
  2. Check Due (days after the invoice date).
  3. Choose How often (1), the Next one on date (2) and when it Ends (3).
  4. Choose Each time (4): Make a draft for me to check, or Make it and email it automatically.
  5. Click Set up.

Each invoice gets its own number and date, and shows a Recurring label in the invoice list.

Change, pause or delete

Each line in the list has:

  • Change: the amount, schedule or what happens each time.
  • Pause and Start again.
  • Delete: stops it. Records, bills and invoices it already made stay.

If Finances couldn't make one (for example because its account was archived), the line says so in red and tries again each day. Click Change to fix it.
