Teachers and roles

Add teachers, choose what each one may do, add them to Team or People in the same step, and understand the Teacher, Teaching Assistant and School coordinator roles.

Teachers are people who sign in to your admin and use Courses. A teacher sees only their own classes and their own students, so you can give a trainer access without showing them your other customers, leads or settings.

Administrators and school coordinators add teachers.

Add a teacher

  1. Go to School → Courses, click People → Teachers, then Add teacher.
  2. Type the Full name (1) and Email (2).
  3. Choose the Role (3): Teacher or School coordinator (only Administrators see this choice).
  4. Tick what they may do:
    • Can add and approve students in their own classes (4);
    • Can create their own courses.
  5. Tick Also add to Team (their staff record: job, time off, documents) (5) if they work for you. See below.
  6. Click Add teacher (6).
Adding a teacher

They get an email with a link to set their password (it works for 48 hours), and they sign in at your website's /admin/ address.

Also add to Team and People

Two optional boxes save you entering the same person twice:

  • Also add to Team: makes their staff record in the Team module (job, time off, documents), or links the record you already have for the same email. The box shows only when the Team module is on and set up, and you're allowed to add people there. Once linked, the teacher's page says In Team: open their staff record.
  • Also add to People (so they can be an article author or reviewer): adds them to your public profiles in Settings → People, used on blog posts and course pages.

You can tick either box later on the teacher's page and click Save.

What a teacher sees

The Teachers list shows each teacher's role, classes, students, what they Can do and their Last sign-in.

The Teachers list

When Derek signs in, his sidebar only has Courses and Profile (1). The Overview shows Your students and Your classes (2), and every list (students, grading, gradebook, attendance, messages, reports) shows only his classes.

Courses as the teacher Derek Hansen sees it

A teacher's students are the students in classes where they're the main teacher or a co-teacher, plus students assigned to them directly (Teachers who see this student on a student's page, for a tutor or adviser). Opening any other student shows "You don't have access".

The three Courses roles

Role Can do
Teacher Their own classes and students: lessons, quizzes, homework, grading, attendance, gradebook, report cards and messages. No settings
Teaching Assistant In the classes they're assigned to: grade work, take attendance, open the gradebook and answer messages. Can't change courses, lessons, quizzes or questions, and can't issue certificates or publish report cards
School coordinator Every course, class, student, teacher and payment. No site settings

To make a teaching assistant:

  1. Give the person the Teaching Assistant role in System → Users (see Add your team as users).
  2. Open the class, click Edit class and tick them under Teaching assistants.

Administrators can build other roles from the Courses permissions in System → Roles. See Roles and permissions.

When a teacher leaves

  1. Open the teacher in People → Teachers.
  2. Under Give their classes and students to, choose another teacher.
  3. Click Remove from teachers.

Their classes, students and grades stay and move to the new teacher. Their admin login isn't deleted: an Administrator deletes it in System → Users.
