Set up Team
Go through the seven setup steps: where your team works, your departments, kinds of work, time off, pay records and you.
Team keeps simple records about the people who work for you: who they are, who they report to, their time off, documents, goals and reviews, pay records, hours, surveys and hiring. Team members can sign in to see and update their own pages.
Open Team for the first time
Team is in the sidebar under Business, below Finances. The first time an Administrator opens it, the setup steps start. Others see "Team isn't set up yet" until it's done. Each step has Next and Back, and you can change everything later.
Step 1: Locations
Where your team works. Each location has its own time zone, work week and holidays.
- Type a Location name (1), for example
Denver shop. UseRemotefor people who work from home. - Choose its Time zone (2).
- Tick the days of its Work week (3). Days that aren't ticked aren't counted as days off.
- Add up to three locations, then click Next (4).
Here the Colorado Springs yard works Monday to Saturday, so Saturdays count as work days there.
Step 2: Departments
Optional. Type one department per line, for example Office, Field crews, Sales and estimating. Click Next.
Step 3: Kinds of work
- Check the list of Kinds of work (one per line): Full-time, Part-time, Contractor, Intern and Volunteer to start. Change it to fit your business, for example add
Seasonal. - Choose when Time-off allowances start: Each calendar year (January 1) or On each person's work anniversary.
- Leave Give people who start during the year a part of the yearly allowance ticked, so a new person who starts in October doesn't get a full year of paid time off.
- Click Next.
Step 4: Time off
The kinds of time off your business gives, and how many days. Nothing is built in for any country: set what your business offers.
For each kind, type its name, choose the Allowance (Days a year, Days earned each month or No limit (tracked only)), type the Days, and tick Paid (for your records) if it's paid. The starter list is Paid time off (10 days a year), Sick (5 days a year) and Unpaid (no limit).
You need at least one. You can add more kinds, and different rules for different people, later. See Leave types, allowances and holidays.
Step 5: Pay records
Team keeps pay records you enter. Nothing is calculated.
- Choose the Usual currency. Each person can be paid in a different one.
- Tick Team members can see their own payment records if you want them to see their pay slips.
- Tick Managers with "see and record pay" can see their own team's pay only if you want that.
- Click Next.
Step 6: You
Leave Add me to Team ticked, and type your Job title and Start date. You then appear in the directory and org chart, and you get your own Me pages.
Step 7: Finish
Read the notice, tick I understand and click Finish. People opens with "Team is ready."
What to do next
- Add your people, or import them from a spreadsheet: Add people and invite them to sign in.
- Add your holidays: Leave types, allowances and holidays.
- Make an onboarding checklist for new people: Onboarding and offboarding checklists.
- Add your handbook and ask everyone to read it: Documents.
