Leave types, allowances and holidays

Set the kinds of time off your business gives, how many days each person gets, and the holidays at each location, including half days.

Team doesn't know any country's leave rules: you set every kind of time off, how many days people get and which days are holidays. Time off counts only work days at the person's location, and leaves out holidays.

Kinds of time off

Go to Team → More → Leave types and policies.

Leave types and policies

The Kinds of time off box lists what you set up, for example Paid time off, Sick, Unpaid and Bereavement. To add one:

  1. Click Add in Kinds of time off.
  2. Type the Name, for example Parental.
  3. Choose its Color on the calendar.
  4. Tick Paid (for your records) if it's paid, and Needs approval if a manager must approve it. Untick it for kinds that don't need approval.
  5. Click Save.

A new kind has no limit until you give it an allowance in a policy (below). Click Hide for a kind you no longer use; past time off keeps it.

Policies: how many days each person gets

A policy is a set of allowances. The setup made one called Standard, the Default for everyone. Add more when different people get different days, for example contractors or another location.

  1. Click Add in Policies (or Change on one).
  2. Type a Name, for example Contractors.
  3. Choose who it's for: For the kind of work and For the location. Or tick The default (for everyone no other policy matches).
  4. For each kind of time off, choose the Allowance:
    • Days a year: given at the start of the allowance year;
    • Days earned each month: for example 1.25 a month;
    • No limit (tracked only).
  5. Type the Days.
  6. Choose what to Carry over to next year: None, All or Up to a number (then type Up to (days)). Type after how many months Carried days expire if they should.
  7. Leave Less for new people on to give people who start during the year a part of the yearly allowance.
  8. Click Save the policy.

Each person gets the policy that matches their kind of work and location best, or the default. To choose one for a single person, open their profile, go to Job and pick their Time-off policy.

Adjust a balance

To give someone an extra day (for example "Worked on a holiday") or take one away:

  1. Open the person's profile, go to Time off and click Adjust a balance.
  2. Choose the Kind, type the Days (1 to add, -1 to remove) and the Reason.
  3. Click Save the adjustment.
Adding a day for a Saturday storm call

The reason is kept in the log.

Holidays

Each location has its own holiday list. Go to Team → More → Holidays, then choose the Location (1) and Year and click Show.

Holidays for the Denver shop

Add a holiday

  1. Under Add holidays, choose the Date and type the Name.
  2. Choose How long: Whole day, Afternoon off or Morning off.
  3. Click Add.

A half-day holiday counts as half a day. If someone asks for a half day on a half-day holiday, only the half that's a work day is counted.

Faster ways

  • Copy …'s holidays to … (2): copies last year's list to this year. Check the dates of holidays that move.
  • Copy … from (3): copies the list from another location.
  • Read from a calendar link (iCal) (4): paste a public holiday calendar's address (for example Google Calendar's public holidays: open its settings and copy the Public address in iCal format) and click Read the calendar. You see the list first: untick anything your business doesn't give as a day off, then click Save the ticked holidays. Only Administrators can read a calendar link.
