Add students
Add students one by one or from a spreadsheet, print login cards for students without email, and add parents or guardians.
Students and parents have website accounts. They sign in on your website at /learn/sign-in/, never in the admin. You can add them yourself, import them from a spreadsheet, or let them join with a class code (see Ways students join).
Administrators and school coordinators can add students. A teacher can add students to their own classes if Can add and approve students in their own classes is ticked for them.
Add one student
- Go to School → Courses, click People → Students, then Add student.
- Type the Full name (1) and Email (2), and a Student ID if you use one.
- No email? Tick No email (young learners): make a username and password, and print a login card (3).
- Choose the Class (4), or Or a course without a class for a self-paced course.
- Leave Send the welcome email now (5) ticked.
- Click Add student (6).
The student gets an email with a link to set their password (it works for 7 days). Until they do, their status is Invited.
Import many students from a spreadsheet
On Students, click Import.
Make a spreadsheet with one student per row and these headings in the first row: Name (or First name and Last name), Email (empty for students without email), Class (its name or class code) and Student ID. CSV or Excel (.xlsx), up to 2,000 students.
Choose the File (1) and a Class for rows without a Class column (2).
Click Check the file (3). Nothing is saved yet.
Uploading the crew roster Check the preview. Each row says New, an existing student (added to the class, never doubled) or the problem (1), such as The email doesn't look right or No class called "Crew Safety". Rows with problems are skipped.
Click Import (2). Then print login cards for the students without email.
Login cards for students without email
Students without email sign in with a username. A login card shows their name, username, a temporary password, the sign-in address and a QR code to the sign-in page.
On Students, tick the students (1).
Under Bulk actions, choose Print login cards (new passwords) (2) and click Apply (3).
Choosing students for login cards Click Print cards, then Done.
The Students list and a student's page
The tabs at the top filter the list: All, Not signed in yet, Waiting for approval, Waiting for payment, Archived, Parents and Spam. Bulk actions also has Send welcome emails, Add to a class… and Archive.
Click a student to see their details, classes, progress, attendance, grades, messages, report cards and certificates.
- Add to class or Remove changes their classes.
- Ticking Young learner (or a birthday under 18) means their parent handles messages and session changes for them.
- Download their data gives you everything about them as a ZIP; Delete student and data removes the account and everything they handed in.
- Archive keeps their records but stops them signing in.
Add a parent or guardian
Only the school links a parent to a child. A student can have up to 4 parents or guardians.
- Open the student and scroll to Add a parent or guardian.
- Type the Name (1), choose the Relationship, and type their Email (2) and Mobile number.
- Tick Gave consent for this child's learning account (3) if they did.
- Tick Email them an invitation to a parent account (needs an email) (4).
- Click Add parent or guardian (5).
The parent gets a link to set their password and then sees My children on the website. See What students and parents see.
